Gather, Inc.’s Senior Operations Director will be instrumental in building and managing the operational infrastructure of Gather, Inc. as it launches its national relational platform and continues local on-the-ground success. Gather Inc.’s Senior Operations Director will keep the wheels turning and help Gather, Inc. leadership lay the groundwork for a national movement while insuring consistency and excellence in Gather’s operational and organizational health, infusing a strategic and relational approach into every aspect of our work.

This is a senior-level position. We are looking for a hyper-organized, strategic individual who is excited to join an innovative grassroots Jewish nonprofit organization. This position comes with a competitive salary and a comprehensive benefits package.

Growing from the success of hyperlocal GatherDC’s relational engagement methodology, Gather, Inc. is a new project that trains change agents in the Jewish community to bring a relationship-centered approach to every aspect of their work, prioritizing the quality of Jewish connections and experiences over attendance. WHO YOU ARE:
The Senior Operations Director will be an integral member of Gather, Inc.’s national leadership team—driving, strengthening, and facilitating organizational cohesion throughout and between different programmatic entities for seamless cross-functional collaboration. Reporting to the Chief of Staff but working very closely with Gather, Inc.’s CEO and People & Culture Director, you will be a key player in ensuring our growing organization has the support structures it needs while maintaining our lean and agile mindset. The person filling this role will be dynamic, emergent, and responsive to our organizational needs while building out and strengthening the systems to support excellence and a people-first approach.

WHAT YOU’LL DO:
Financial & Governance Management

  • Provide insight, analysis, and regular updates throughout the fiscal year to Managing Director and department heads to guide active budget management and compliance.
  • Manage day-to-day financial tasks, including payroll, accounts payable and receivable, and general bank account oversight.
  • Liaise with third-party bookkeepers to coordinate monthly reconciliations, quarterly updates, and regular financial forecasting and reporting.
  • Oversee annual audit processes to prepare information for annual audit and tax filing.
  • Manage and improve expense systems, including reimbursements and credit cards.
  • Develop and maintain close relationships with Gather, Inc. program directors to ensure deep understanding of individual programmatic needs and synthesize cross-departmental needs and trends as they translate to budgetary and financial considerations.
  • Ensure comprehensive, accurate, and up-to-date document storage for vendor contracts, MOUs, tax documents.
  • Ensure compliance with financial controls and policies and update where necessary.
  • Proactively identify gaps in financial systems to advance and strengthen organizational financial management and overall financial hygiene.

Organizational Development & Systems Management

  • Build, implement, and improve upon organizational processes, policies, and systems that reflect Gather’s mission and values while strengthening organizational effectiveness and excellence.
  • Support team workflow processes by proactively identifying system improvements and providing necessary initial and ongoing training for said processes.
  • Provide insight on ongoing organizational systems effectiveness and be proactive in researching and recommending new solutions to Gather’s expanding operational needs.
  • Exercise strategic foresight to identify gaps in organizational systems to improve efficiency and effectiveness.

Facilities & Administration

  • Work closely with the Operations Coordinator to ensure they’re successfully managing day-to-day office operations, procedures, and services including security, telecommunications, office supplies, furniture needs, and shipping and mailing needs for Gather, Inc.’s DC hub.
  • Ensure remote employees’ office needs are appropriately resourced and maintained.
  • Provide ongoing facilities management, including planning and oversight of short and long-term facilities projects, overseeing regular maintenance, and proactively addressing necessary facility needs.
  • Serve as primary liaison in tenant-landlord communications where applicable.

Oversee Operations Team

  • Support and manage Operations Coordinator in operational and administrative projects, including but not limited to delegation of facilities management tasks, A/R and A/P invoicing and maintenance, systems support and documentation, and more.
  • Steward Director of People and Culture and Operations Coordinator’s professional development, including general mentorship and forwarding/connecting to professional growth opportunities.
  • Work closely with the Director of People and Culture to ensure the administration, coordination, operation, and execution of Gather, Inc.’s HR functions aligns with its strategic organizational objectives while investing and aligning with its organizational culture and core organizational values.

QUALIFICATIONS:

  • You have 6 to 10 years of full-time professional experience.
  • You’re self-motivated, working equally well independently as well as part of a team.

You’ve got financial acumen. You have a high-level knowledge of financial and accounting principles to confidently and competently guide the full cycle of organizational financial management. You’re able to successfully synthesize individual financial functions to provide accurate financial analysis and provide insight on their future implications.

You manage complexity with ease. You're great at quickly learning and understanding new concepts and integrating complex information to identify strategies and solutions appropriate to the task of problem at hand. You demonstrate keen insight into complicated set of problems or concepts and are able to articulate the core idea or issue, breaking them down into clear and manageable components to find the best possible solution.

You’ve got a strategic mindset. You’re able to zoom out of the daily grind and understand how the different components of the work fit together in the larger picture. You’re able to hold the macro and the micro simultaneously and are energized by the puzzle of how they all fit together, both in the present moment and in looking toward the future.

You’re detail-oriented. You are thorough, accurate, and organized, and things rarely fall through the cracks. You’re able to see all pieces of the puzzle, and are not afraid to ask follow-up questions to get to the root of a problem.

You're able to optimize work processes. Whether you’re on the ground making small tweaks to smooth things out or taking a step back to re-envision the entire system at a macro level, you know what is needed where to improve organizational workflows. You understand not only what systems need to be in place to keep the work moving, but are always looking for new opportunities to identify where these systems can interact in more efficient and holistically effective ways.
